BEHIND THE SCENES: A DAY AT CALM VA

People often ask what a day looks like as an Executive Support Partner. Here's the truth: no two days are identical, but they all start with Chester, my energetic dog, ensuring I'm up early.

Morning Routine

I'm at my desk by 8.30am. First priority? Checking client inboxes for anything urgent - meetings needing rescheduling, invoices requiring follow-up, customer queries needing immediate response.

Strategic Planning

I map out priorities across multiple clients using project management tools. This might include Xero financial administration for one client, CRM updates for another, and complex calendar coordination for a CEO managing business and personal commitments. After 30 years, I know which tasks are genuinely urgent and which can wait. I think three steps ahead, anticipating problems before they reach clients' desks.

Focused Work

Mid-morning through afternoon is dedicated to strategic work: meeting agendas, account reconciliation, customer enquiries via phone and email, implementing systems that prevent chaos. I work independently and proactively, with the discretion learned from supporting a Royal Navy Captain.

Afternoon Reset Lunchtime means a lovely walk with Chester. Then back to ongoing projects: document preparation, supplier coordination, or training clients on newly implemented systems. By 5pm, I'm wrapping up with clear updates on what's handled and what's upcoming.

Evening

Chester gets evening cuddles, then I spend time with family - my husband and our three adult children.  Evenings might mean coordinating the next friends' getaway or social event (I'm the "Chief Organiser") or relaxing at home.

Behind the strategic operations and proven systems is someone who genuinely cares about client success. I balance my own busy life with supporting business owners across biotech, tech, recruitment, private equity and executive search and construction.
